1. Who we are

TapPark provides QR code and NFC parking payment technology that allows drivers to pay for parking without downloading an app. In this policy, "TapPark", "we", "us" and "our" refer to the operator of the TapPark service.

TapPark is a trading name of Whitmore Trading Ltd, a company registered in England and Wales.

We are the data controller for the personal information we process about visitors to our website, operators who enquire about our service, and drivers who make payments through TapPark, except where we act as a processor on behalf of a parking operator as described in section 7.

2. Scope of this policy

This policy applies to personal data we collect through our website, our payment pages, our contact and demo request forms, and any communication you have with us. It does not apply to third party websites or services that we link to, which have their own privacy policies.

3. Information we collect

We collect only the information we need to provide and improve our service. Depending on how you interact with us, this may include the following categories.

Information you provide to us

  • Enquiry and demo details. When you contact us or request a demo, we collect your name, email address, telephone number, company or organisation name, and the content of your message.
  • Payment information. When you pay for parking, you provide the payment details needed to complete the transaction. Card details are entered directly with our payment providers and are not stored by us. Where relevant, you may also provide a vehicle registration and an email address for a receipt.
  • Correspondence. Records of your communications with us, including support requests and feedback.

Information we collect automatically

  • Transaction and session data. The parking location, zone or bay identified by the QR code or NFC tag you used, the amount paid, the duration selected and the time of the transaction.
  • Technical data. Your IP address, device type, operating system, browser type and settings, and the referring page.
  • Usage data. Information about how you interact with our website and payment pages, such as the pages you view and the actions you take.
  • Cookies and similar technologies. As described in our Cookie Policy.

We do not intentionally collect special category data (such as information about health, ethnicity or beliefs) and we ask that you do not provide it to us.

4. How and why we use your data

We use personal data for the following purposes:

  • To process parking payments and confirm parking sessions.
  • To provide receipts and transaction confirmations where requested.
  • To respond to your enquiries, arrange demonstrations and provide customer support.
  • To operate, maintain, secure and improve our website and payment pages.
  • To detect, prevent and investigate fraud, misuse and technical issues.
  • To understand how our service is used so that we can improve it.
  • To comply with our legal and regulatory obligations, including accounting and tax requirements.
  • To send service related communications, and, where you have agreed, relevant updates about our products.

5. Our lawful bases for processing

Under UK data protection law we must have a lawful basis for using your personal data. We rely on the following bases:

  • Performance of a contract. To process your parking payment and provide the services you have requested.
  • Legitimate interests. To operate and improve our service, keep it secure, prevent fraud and respond to enquiries, provided our interests are not overridden by your rights.
  • Consent. Where you have given consent, for example for certain cookies or optional marketing communications. You can withdraw consent at any time.
  • Legal obligation. Where we are required to process data to comply with the law, such as retaining financial records.

6. Cookies and tracking

7. Who we share your data with

We do not sell your personal data. We share it only where necessary to run our service, and we require anyone who processes data on our behalf to protect it appropriately. We may share data with:

  • Payment providers. To process card, Apple Pay and Google Pay transactions securely.
  • Parking operators. Where you pay for parking at a site, the relevant operator may receive transaction information needed to manage that parking session. In these cases the operator may act as a separate data controller.
  • Hosting and technology providers. Including our website and application hosting provider, which delivers and secures our pages.
  • Professional advisers. Such as accountants, auditors and legal advisers where necessary.
  • Authorities and regulators. Where we are required to disclose information by law or to protect our rights.

Where we act as a processor on behalf of a parking operator, we process the relevant data in accordance with that operator's instructions and the agreement in place with them.

8. International transfers

We aim to keep your personal data within the United Kingdom and the European Economic Area. Some of our service providers may process data outside these areas. Where they do, we take steps to ensure your data receives an equivalent level of protection, for example by relying on adequacy decisions or standard contractual clauses approved for use under UK law.

9. How long we keep your data

We keep personal data only for as long as we need it for the purposes described in this policy, and to meet our legal, accounting and reporting obligations. Transaction and financial records are typically retained for the period required by tax and accounting law. Enquiry and correspondence records are kept for as long as needed to manage our relationship with you and are then securely deleted or anonymised.

10. How we protect your data

We take the security of your data seriously and use appropriate technical and organisational measures to protect it against unauthorised access, loss or misuse. These include encryption of data in transit, access controls and the use of reputable payment providers that meet recognised security standards. No method of transmission over the internet is completely secure, but we work to protect your information at all times.

11. Your rights

Under UK data protection law you have the following rights in relation to your personal data:

  • Access. To ask for a copy of the personal data we hold about you.
  • Rectification. To ask us to correct data that is inaccurate or incomplete.
  • Erasure. To ask us to delete your data in certain circumstances.
  • Restriction. To ask us to limit how we use your data in certain circumstances.
  • Portability. To ask for your data in a portable format so it can be transferred.
  • Objection. To object to processing based on our legitimate interests, and to object to direct marketing at any time.
  • Withdraw consent. Where we rely on consent, to withdraw it at any time without affecting earlier processing.

To exercise any of these rights, please contact us at privacy@tappark.co.uk. We will respond within the timeframes required by law. There is normally no charge to exercise your rights.

If you are not satisfied with how we handle your data, you have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection. You can reach the ICO at ico.org.uk or by calling their helpline. We would appreciate the chance to address your concerns first, so please consider contacting us before making a complaint.

12. Children's privacy

Our service is intended for use by adults, in particular drivers and parking operators. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can take appropriate steps.

13. Third party links

Our website and payment pages may contain links to third party websites and services, such as payment providers. We are not responsible for the privacy practices of those third parties, and we encourage you to read their privacy policies.

14. Changes to this policy

We may update this policy from time to time to reflect changes in our service, technology or legal requirements. When we make material changes, we will update the date at the top of this page. We encourage you to review this policy periodically.
